Sounds basic but it saves 10–20 minutes per quote, multiplied across every enquiry. Best ROI of any AI tool we’ve seen. Use a saved system prompt with your tone, your standard inclusions/exclusions, and your sign-off.
Worth it: voice transcription on site visits
Otter, Fireflies, or even the iPhone Voice Memo + ChatGPT pipeline. Walk around the job, narrate notes (‘kitchen tap, leaking from the spindle, looks like a 2015 Bristan, customer wants like-for-like’), get a structured note back in 5 minutes. Replaces the ‘I’ll write this up tonight’ admin tax that nobody actually does.
Worth it: photo cataloguing
If you photograph every job, AI tagging tools (Apple Photos handles this for free, Lightroom does it commercially) make it possible to actually find the photos later when a similar job comes in. Search ‘kitchen radiator chrome valve’ and get every relevant photo in seconds. The before/after gallery on your website also benefits from this organisation.
Worth it (carefully): email follow-up automation
Tools like Resend, Customer.io, or HubSpot can fire follow-up emails after quote sent, after job complete, and at 6-month service intervals. Skip: AI receptionists for high-trust services
AI phone agents (PolyAI, Air, Vapi) are getting good. They’re still terrible at handling ‘my boiler’s leaking and the kids are home’. Customers calling a tradesperson at 9pm on a Tuesday want to speak to a human. AI receptionist is fine for low-stakes confirmation calls; it’s a brand-killer for emergencies and high-value quotes.

It’s tempting to auto-reply to all your Google reviews with ChatGPT. Don’t. The replies sound generic, customers can spot it, and Google’s policy increasingly frowns on it. Spend 10 minutes a week writing real responses; the cumulative reviewer trust pays back many times over.

Generic AI copy reads exactly like generic AI copy. Customers, and increasingly Google, can tell. AI is a great editor and a great drafter when you give it your real voice and real specifics; it’s a terrible ‘write me a homepage about my plumbing business’ prompt.
